Learn how Iconic Web Studios collects, protects, and handles your personal and business data.

Last Updated: August 2026

A Quick Note Before the Legal Language

At Iconic Web Studios, we handle client data the same way we'd want a vendor to handle ours: carefully, transparently, and only for the reasons we've actually explained. This page covers what we collect when you visit our site or work with us, why we collect it, and the choices available to you.

1. Who This Applies To

This policy covers visitors to iconicwebstudios.com, prospective clients who reach out for a quote, and active clients whose projects we manage. If you're a client, some of this information may also be addressed in your Statement of Work.

2. Information We Collect

What you give us directly. When you fill out a contact form, request a proposal, or sign on as a client, we collect things like your name, email address, phone number, company name, and any project details you share with us, brand guidelines, goals, existing site credentials, and so on.

What you give us directly

When you fill out a contact form, request a proposal, or sign on as a client, we collect things like your name, email address, phone number, company name, and any project details you share with us, brand guidelines, goals, existing site credentials, and so on.

What your browser tells us

Like most websites, ours picks up technical details automatically: IP address, device and browser type, pages viewed, time spent on the site, and the site that referred you here. This comes through cookies and standard analytics tools.

What we gather during a project

Once you're a client, we may collect additional operational information: hosting logins, third-party account access, analytics data, and files you upload for the build.

3. Why We Collect It

We're not gathering data for the sake of it. Each category above serves a specific purpose:

Data Type Purpose
Contact detailsResponding to inquiries, sending proposals, managing your account
Project informationActually building and delivering your website or campaign
Browsing and analytics dataUnderstanding how people use our site so we can improve it
Billing informationProcessing invoices and payments
Marketing preferencesSending updates or promotions, only if you've opted in

4. Cookies

Our website uses cookies, small files stored on your device, to remember preferences, understand traffic patterns, and support analytics tools like Google Analytics. You're free to disable cookies through your browser settings. Some parts of the site may not function as smoothly if you do, but the core content will still be accessible.

5. Who We Share Information With

We don't sell your data. Full stop. We do share limited information with a short list of trusted parties when it's necessary to run our business or complete your project:

  • Hosting and infrastructure providers, if your package includes hosting through us
  • Payment processors, to handle invoicing securely
  • Analytics and marketing platforms, such as Google Analytics or email service providers, strictly for the purposes described above
  • Legal or regulatory bodies, if we're required to disclose information by law

Any vendor we work with is bound to use your information only for the task we've hired them for.

6. How Long We Keep It

We hold onto client project files and communication records for a reasonable period after a project wraps, mainly so we can help if you need a file resent or have a follow-up question. General inquiry information from people who never became clients is retained for a shorter window and cleared out periodically.

7. Your Rights

Depending on where you're located, you may have rights over your personal data, including the ability to:

  • Request a copy of the information we hold about you
  • Ask us to correct inaccurate details
  • Request deletion of your data, subject to any legal or contractual obligations that require us to retain it
  • Withdraw consent for marketing communications at any time
  • Object to certain uses of your data

To exercise any of these, just email us. We'll respond within a reasonable timeframe and let you know what we can do.

8. Marketing Communications

If you've subscribed to updates from us, you can unsubscribe at any time using the link in any email we send, or by contacting us directly. Opting out of marketing emails won't affect service-related communications tied to an active project.

9. Data Security

We use reasonable technical and organizational safeguards to protect the information we hold, including restricted access to client credentials and secure storage for project files. That said, no system connected to the internet is completely immune to risk, and we can't offer an absolute guarantee of security.

10. Children's Privacy

Our services are built for businesses and are not directed at anyone under 13. We don't knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us and we'll remove it.

11. Third-Party Links

Our website and client deliverables may link out to third-party sites, tools, or platforms we don't control. This policy only covers our own practices. We'd encourage you to review the privacy policy of any external site before sharing information with it.

12. Changes to This Policy

We may revise this policy periodically as our practices or applicable laws change. Updates will be posted here with a new effective date. We'd recommend checking back occasionally, especially before starting a new project with us.
